Questions and Answers About Email

Question Answer
What is "POP3"? POP3 stands for Post Office Protocol. This is a  protocol used by mail clients (like Outlook, Outlook Express, and Eudora) and mail servers, to retrieve messages from a mail server.
How can I pick up e-mail  from my Yahoo! mail using Outlook Express? Yahoo Mail is a web-based email system.  Unless you "upgrade" to Yahoo Mail Plus, the version that allows you to use a POP3 account, you won't be able to use Outlook Express with Yahoo Mail.  Yahoo Mail is free; Yahoo Mail Plus
has an annual fee associated with it.

Hotmail (a free email service) allows you to use Outlook Express to pickup and send email via HTTP.  You can learn how to configure it here:

I can't get email to my Hotmail account.  When people send me email, it gets rejected. Check to make sure that you haven't exceeded your space limit in Hotmail (same is true for Yahoo Mail).  Delete old messages to make room for new ones.  Make sure you delete old messages from your Sent folder, too.
Can I pick up my AOL, MSN or Yahoo email using Outlook, Outlook Express, or Eudora?

AOL, MSN (Hotmail) and Yahoo use proprietary, web-based e-mail services and are not compatible with Outlook Express, Outlook or Eudora. (See question below about specifically using Hotmail and Outlook Express 6).

They do not support POP3, the internet standard for receiving email.

Some web-based email systems, such as Yahoo, offer a "premium" service where they'll forward your email to a POP3 account...for a price.

You can expect changes around this question in the future.  Check the Help area of your specific email provider to see if/when they'll allow for POP3 or IMAP email receiving.

Can I pick up my Hotmail email using Outlook Express? Yes, Microsoft is testing this with limited support, for Outlook Express 6 or Outlook 2002 onlyClick here for instructions.

I tried it with my Outlook Express and it copied all my emails, and the folders I stored them in, directly to my Outlook Express software.  Very cool.

Note: It appears that any work you do in Outlook Express will be synchronized with the web-based account (deleting emails, moving emails to a certain folder).  However, downloading emails into Outlook Express does not remove them from the Hotmail server; you still have mailbox limits that need to be respected.

Can I pick up my Hotmail email using Outlook 2002? You can find the instructions here:

http://support.microsoft.com/default.aspx?scid=kb;en-us;287424
How can I export my Hotmail address book into a new email software package? There is no "export" feature in Hotmail. If your list is large, the only suggestion I have is to select the text from the Contact area in Hotmail and copy it to a text file.  Then you can import that into text file into
another email program IF that other program has an "import" feature.
What is "SMTP"? SMTP stands for Simple Mail Transfer Protocol.  This is the protocol used by mail clients and mail servers, to send messages to the mail server.
What is "IMAP"? IMAP stands for Internet Message Access Protocol.  This is a protocol used by IMAP compatible browsers to access email.
How do you look at the complete and full Header of an email in Outlook?
Yes, it's easy to look at the full header in Outlook.

1. Open the email you want to view.

2. From the View menu, select Options.

At the bottom of the Options window, you'll see the full Internet Header.

If you're uncomfortable opening the email first, try this:

1. In your InBox, select the email. (Select it, but don't open it.)

2. Right-click with your mouse, and choose Options.

How can I link my Verisign website email with Outlook? You set up the accounts that you want to send and receive mail from by using the Tools, Accounts option in Outlook.  Check with your website hosting company (in your case, Verisign) for the correct naming of the POP3 and SMTP account names.
How can I transfer my data from Outlook Express to Outlook? In Outlook Express, on the File menu, you'll see an option called Export.  That will allow you to export your data to a file, which you will then import into Outlook.  (In Outlook, go to the appropriate folder, then select File/Import.)  You will have to export your messages, then export your address book.
How can I export my address book from Hotmail into another software program? There is no "export" feature in Hotmail. If your list is large, the only suggestion I have is to select the text from the Contact area in Hotmail and copy it to a text file.  Then you can import that into text file into another email program IF that other program has an "import" feature.
How can I export my address book from Yahoo to another program. In Yahoo mail, click on the Addresses link, then click on Import/Export.  Follow the instructions to export your addresses.  There is also specific help on that page for certain email software packages.
How can I export my address book from AOL to another program? I did a little research and there appears to be no way to export your addresses from within AOL.

Some email software packages offer to "import" your AOL address book; check their Help pages for more information.

How do I email a flyer that I created in Microsoft Publisher? If you send the original Microsoft Publisher file (.pub), the other person must have Microsoft Publisher in order to open the file.  Consider, instead, publishing the file to PDF format and sending the PDF to them.  Acrobat Reader is free software, so they won't have to pay anything to be able to view your file.
When I receive an email with email addresses in the BCC field, how can I view all the addresses in the BCC field? Is there a software
to unscramble this ?
The purpose of the BCC field is for a "blind carbon copy."  It's supposed to be hidden.
How do I delete folders in Yahoo! Mail? In Yahoo Mail, click on "Folders" at the very top of the list on the left.  From that point, you should be able to delete or rename the folders.
Can I have "groups" of people in my address book in Outlook Express? From the Tools menu, select Address Book.  Once the Address Book opens, click on the New icon and select Group.  You can then create any group(s) you want.
How do I send out a group email without everyone seeing everyone's name and address? You need to use the Blind Carbon Copy (BCC) feature of your email software to send out this type of email.  Essentially, you type all the email addresses into the BCC field, and once the email is sent, all the information in the BCC field is hidden.  Note that some email systems do not have a BCC feature.  Also note, it is considered "bad email etiquette" to send out an email to a group of people in the TO or CC fields where everyone can see the email addresses.  Proper protocol is to use the BCC field.
